After you have generated the external numbers based on the numbering rules you have defined in the system, you can generate an overview that displays all the external numbers that have been used in various transactions. Go to System/Logistics/External numbering/External numbers to display the external numbers.
Type or select the numbering rule code to display the external numbers of the selected numbering rule. By default, the field is disabled as the All check box is automatically selected when you first go to System/Logistics/External numbering/External numbers. A selected All check box will display the external numbers of all the numbering rules. To enable the Numbering rule code field, clear the selection of the All check box.
Type or select the number range to display the external numbers within the selected number range. Select the All check box to display the external numbers of all the number ranges. By default, the field and its corresponding All check box are disabled because the selected All check box at Numbering rule code will cause the All check box at Number range to be selected automatically and disabled. As a result, the Number range field is also disabled as its All check box has been selected.
To clear the selection of the All check box, you must first clear the All check box at Numbering rule code. Next, you can proceed to clearing the All check box at Number range. At Number range, you can type or select the number range to display the external numbers within the number range. The available options of number range will depend on the numbering rule code you have selected at Numbering rule code. If a numbering rule code has been defined at Numbering rule code and the All check box at Number range is selected, the system will display the external numbers that belong to all of the number ranges in the selected numbering rule.
Type a range of external numbers or one external number to display the specified external numbers. Select the All check box to display all the external numbers. By default, this check box is selected.
Select the status of the external numbers to display the external numbers of the selected status. There are three options available which include Active, Void, and Used. You must select at least one status.
Type or select the transaction date range to display the external numbers within the defined transaction date range. Select the All check box to display all the external numbers without filtering the transaction date range. By default, this check box is selected.
Click Display to display the overview of external numbers based on the defined criteria.
Click Close to exit.
